Effective from 27 April 2026
These terms and conditions apply to all holiday camps run by Water Creations Swim Academy (WCSA). We are a limited company registered with company number 14749719. By booking with us, you accept these terms in full.
Confirmation: Your booking is confirmed by email only once we have received full payment and acceptance of these T&Cs.
Payment Methods: We accept payment by bank transfer and debit card. We do not accept payment by cheque, childcare vouchers, American Express or PayPal.
Tax-Free Childcare (TFC): Parents can pay via their TFC account using our Provider ID 2869914. Please allow up to 5 working days for TFC payments to clear. Bookings paid via TFC will be held for 5 working days (compared to 24 hours for card payments).
Discounts: Discounts cannot be used in conjunction with each otherâwe will offer the best rate available. Discounts cannot be applied retrospectively and must be applied at the time of booking.
Outstanding Balances: Any outstanding balances after camp attendance may be passed to a debt recovery agency.
Early Bird Bookings: Non-refundable but can be credited towards another camp.
Injury or Medical Conditions: Bookings can be refunded if a medical certificate is provided.
Standard Cancellations: With 14 or more days’ notice before the camp date, a refund will be issued minus a ÂŁ20 admin fee. With less than 14 days’ notice, no refund is available, but a credit may be offered towards another camp date.
Individual Day Cancellations: If you cancel individual days within a week booking, the booking will be recalculated at the daily rate, which may result in an additional charge.
Standard Care Hours: 9:00 AM to 4:00 PM.
Extended Day Option: Available from 8:30 AM â 9:00 AM (morning) and 4:00 PM â 5:30 PM (afternoon). Extended day can be booked at the time of booking. Venue times may vary.
Extended Day Cancellation: With 14 or more days’ notice, a full refund will be issued. With less than 14 days’ notice, no refund is available. Extended day can be moved to a different day with 7 or more days’ notice, free of charge.
Collection Requirements: All children must be collected by 5:30 PM unless otherwise specified in writing.
Late Collection Fee: ÂŁ1.25 per 30 minutes (or part thereof) after the scheduled collection time.
Uncollected Child: If we have no contact from parent or guardian by 5:45 PM, we will contact Social Services regarding an uncollected child.
Repeat Late Collection: We reserve the right to refuse future bookings from parents who repeatedly collect late.
48-Hour Rule: Children should not attend camp for 48 hours after the last episode of sickness or diarrhoea.
Refunds for Illness: No right to refund unless a medical certificate is provided (see Section 2).
First Aid & Emergency: First aid will be administered as required. Emergency services will be called if necessary.
Prescribed Medication: Essential prescribed medication, including EpiPens, must be handed to the Camp Lead for safe-keeping.
Non-Attendance: Non-attendance must be reported by telephone to WCSA.
It is your responsibility as the person booking to ensure that all details provided are accurate, including medical information, educational needs, and emergency contact details. If complete information is not received before camp starts, your child will not be allowed to attend.
We will endeavour to accommodate children with specific needs and/or medical conditions. Our policy is not to exclude any child wherever possible. It is your responsibility to inform us of any medical conditions or SEND. Needs are assessed on a case-by-case basis, and we will consider reasonable adjustments. Please note that we do not provide one-to-one support.
Liability: Personal property is your responsibility. We are not liable for loss, damage, or theft.
Lost Property: Lost property is kept until the last day of the season, then donated to charity.
Electronic Devices: Mobile phones and electrical devices are prohibited at camp. Any devices will be placed in the Camp Lead’s secure box and returned to you at the end of the session.
Programme Changes: We may change venues, dates, or activities for reasons within or outside our control. Activity programmes are subject to change due to weather or other circumstances. Swimming and specific activities are scheduled but not guaranteed on individual days.
Date Cancellation: We may cancel particular dates with 14 days’ notice where possible. An alternative date will be offered, or a full refund will be issued.
Minimum Numbers: We reserve the right to cancel if numbers fall below the minimum required.
Zero Tolerance Policy: We operate a zero-tolerance policy on discrimination, bullying, and persistent poor behaviour. We reserve the right to remove your child from camp (part or full exclusion). No refund will be provided for remaining days, and you must collect your child immediately.
Cancellation of Future Bookings: We may cancel future bookings with immediate effect if you breach these T&Cs;, fail to pay, or engage in unacceptable behaviour.
We are responsible for foreseeable loss or damage resulting from breach of these terms. We are not responsible for unforeseeable loss. This does not exclude our liability for death or personal injury caused by negligence, fraud, or breach of your legal rights. Our liability is limited to a refund of the cost of the most recent camp booking. We exclude liability for loss of profits, business, agreements, savings, data, goodwill, or any indirect or consequential loss.
Communication: We encourage open communication. If you have any concerns or issues, please raise them with our staff directly. If an issue is not resolved poolside, please contact us at info@wcsacademy.co.uk.
No Valuables: Please do not bring valuables to camp.
Viewing Areas: Parents and guardians are asked to sit in designated viewing areas during camp.
Venue Rules: You must adhere to all venue-specific rules and regulations.
Changing Rooms: Other adults may be present in changing rooms. Upon conclusion of camp, you assume responsibility for safeguarding in changing rooms.
Variation of Terms: We may vary these T&Cs; with reasonable notice. Changes will be posted on our website.
Data Protection: WCSA is the data controller. Please see our Privacy Policy on our website for details on how we process your data.
Safeguarding: WCSA has legal safeguarding obligations. Any suggestion of child abuse or neglect will be investigated and reported in accordance with our safeguarding policy.
Governing Law: These terms and conditions are governed by English law.
